JOB TITLE: RECEPTIONIST
Purpose: To manage the front desk daily, and to perform a variety of administrative and clerical duties.
Key Accountabilities:
- Provide customer support by answering telephones, preparing messages, and
replying to emails in a timely manner. - Receive visitors by welcoming, screening, directing, and announcing them
appropriately. - Maintain office security by following safety protocols and controlling access via
the reception desk. - Prepare/Set up meeting rooms and make hospitality arrangements as required.
Minimum Requirements:
- One (1) year experience in a similar role
- Associates degree in a related field or equivalent
- Customer service skills
- Multitasking and organizational skills
- Effective and clear communication—both written and verbal
- Initiative and problem-solving abilities
- Computer literate
JOB TITLE: ADMINISTRATIVE ASSISTANT (PRODUCTION)
Purpose: To provide administrative support to the production department
Key Accountabilities:
- Prepare reports and maintain appropriate filing systems
- Maintain supplies inventory and update inventory records
- Prepare business communications as required
- Conduct research as required
- Organize, schedule appointments and meetings and take detailed minutes
- Contribute to the team effort by accomplishing related position results and providing support to events as required.
Minimum Requirements:
- Two (2) years’ experience in a similar role
- Tertiary level education or equivalent
- Proficiency in MS Office
- Excellent multitasking, organizational and time management skills
- Attention to detail and problem-solving skills
- Excellent written and verbal communication skills
JOB TITLE: EVENT ASSISTANT
Purpose: To support the event planning and execution process
Key Accountabilities:
- Assist in creating and implementing onsite attendee experience strategy
- Assist with event logistics
- Support accreditation process
- Help set up and dismantle events efficiently through to completion
- Undertake special projects as assigned
Minimum Requirements:
- Two (2) years’ experience in a similar role
- Tertiary level education or equivalent
- Proficiency in MS Office
- Attention to detail and ability to multitask
- Excellent organization and communication skills
- Valid driver’s license
JOB TITLE: PUBLIC RELATIONS AND MARKETING OFFICER
Purpose: To provide support in the development and implementation of strategic PR, Marketing, and promotion plans.
Key Accountabilities:
- Assist in developing PR campaigns and media relations strategies
- Seek opportunities for partnerships, sponsorships, and advertising
- Coordinate all public relations activities
- Script press releases, by-line articles and presentations
- Assist with the production of multimedia content
- Work with the marketing lead to compile information, guide strategies and prepare and present ideas for the marketing of events to the relevant audiences.
- Assist with the conceptualizing and production of marketing campaigns.
- Conduct market research to identify opportunities for promotion and growth.
Minimum requirements:
- Tertiary or Vocational Qualifications in Media, Journalism, Communications,
Marketing or Public Relations. - Two (2) years’ work experience in a similar role
- Must have a solid understanding of PR, marketing and communications,
especially digital channels - Ability to think creatively and critically about multimedia content whilst ensuring
alignment with brand guidelines - Exceptional writing and editing skills
- Highly organized
- Proficient in MS Office
- Excellent understanding of social media trends and management
- Proficiency in graphic designs an asset
